Covering everything Room Types. Understanding various room type options available (i.e parent, linked, combo rooms etc)

Written by Rilind Maben

1. Room Type Overview

  • A Room Type represents a category of rooms with the same configuration and features (i.e Studio has the same configuration/features, you can create 1 Room type with 10 inventory – rooms for sale).

  • Bookings are then made for the Room type (& Rate plan), and inventory is adjusted accordingly.

  • Users with access to ‘Property Settings’ can access the Room type module

  • Additional room options – Linked rooms and Combo rooms

  • Linked room - creating child room type connected to a parent, sharing the same physical inventory but with its own independent rates and restrictions.

  • Combo room - Cluster 2 or more room types to create a unified "combo room"

2. Before You Begin (Prerequisites)

  • Information you'll need on hand before starting:

    • Room type name and rate code

    • Room type description

    • Occupancy settings (min/max adults, children)

Linked Rooms

  • Allow you to connect a room type to a parent room type while managing its rates and restrictions independently. This gives you the flexibility to sell the same physical inventory under different conditions — without duplicating your setup or managing availability separately.

  • Linked rooms are used when rates are not set to calculate from the parent or have days where rates need to be managed independently

Step 1. Create linked room

  • Click ‘Add’ and select ‘Linked rooms’.

  • Select rate code to apply to linked room

  • Select Parent room type. Selecting multiple will create linked room type for each parent room type selected

  • Set name for each Linked room type

  • SAVE

Linked room content - Content (description, images) set to parent room will apply to linked rooms. To manage linked room content

  • Select the desired linked room to edit

  • Click ‘Manage Link room content’ flag to

  • SAVE

Combo Rooms

· A virtual room type that combines multiple physical room types into a single bookable unit for channel distribution.

· Streamlines channel management by presenting one room option instead of multiple variants

· Combo room inventory = combined availability across all clustered room types

· Rate Strategy: Combo room displays the rate from the designated default room type

· Booking - Room allocation slight variation between Booking engine and OTA bookings for single and multi-occupancy bookings

o Single Occupancy BE bookings - automatically assigned to the pre-selected default single occupancy for combo room

o Multi-occupancy BE bookings – system allocates room based on guests’ bedding selection during booking

o Multiple rooms with same bedding – when several rooms in the cluster match the selected bedding type, the system assigns the room with the lowest rate

o Single occupancy OTA bookings – automatically assigned to the pre-selected default single occupancy for combo room

o Multi-occupancy OTA bookings – system allocates the lowest-rate room type within the cluster

Step 1. Create combo room

  • Click ‘Add’ and select ‘Combo room’.

  • Set combo room name

  • Select room types that will form (be part of) the combo room

  • NEXT

  • Select ‘Default room’ and ‘Single Occupancy’ room

  • SAVE

After Saving

  • All room types are visible within the Room type module – where you can then create more room types, edit existing room types.

  • Next steps - setting availability, restrictions & rates and linking/mapping

*

4. Editing an Existing Room Type

  • Simply select/open the Room type you want to edit, move to the field you want to edit

  • SAVE

5. Hiding or deleting a Room type

  • Both options are available to suit individual needs. Deactivating is when a room is no longer available at the property, hiding removes the option to map.

  • Steps to Hide room types

  • Hover over ‘hide icon’

  • Select icon to hide room

  • Once enabled, the room type is hidden for mapping, room and existing mapping remain active.

  • Steps to Deactivating room type

  • Hover over ‘delete’ icon

  • Select icon to deactivate room type

  • Deactivating - applies when a room is no longer in use or bookable. All mapping to PMS, Channels and Booking engine should be removed prior.

  • No impact on existing bookings for both options, the name is still visible. Modifications received to deactivated rooms will result in unmapped alerts/booking.
