ReviewMinder - Automated Welcome and Request Review Emails

This feature enables properties to automate guest communication for direct bookings by sending welcome emails before check-in and review request emails after check-out, reducing manual effort and helping properties collect guest feedback.

Properties can customize both email templates in ReviewMinder and activate the feature directly from MAX.

The feature will be disabled by default, giving properties full control over their email content and allowing them to enable automated communication when they are ready.

Steps to Enable the Feature:

Step 1: Customize Email Templates in ReviewMinder (RM)

Before enabling the feature, properties need to customize their email templates in RM. Navigate to ReviewMinder tab → Configuration → Email Templates and follow these steps:

  1. Click Edit Template for the Welcome Email and Request Review Email.

  2. Customize the email content as required.

  3. Configure the email sending time:

    • Welcome Email: Sent 24 hours before the check-in date by default. Properties can adjust the sending time according to their requirements.

    • Request Review Email: Sent 24 hours after check-out. The sending time is fixed and cannot be customized.

  4. Click Submit to save the changes. Please refer to the screenshots below for guidance.

         

Step 2: Enable the Feature in MAX

Once both email templates are configured in ReviewMinder, properties can enable the Automated Welcome and Request Review Emails feature directly from MAX. When enabling the feature, a pop-up will appear asking properties to confirm whether they have configured and reviewed their email templates in ReviewMinder.

  • If they select Yes: They can proceed to enable the feature.

  • If they select No: The feature will remain disabled. Properties will need to review and customize their email templates in ReviewMinder before enabling the feature to ensure the emails are ready to be sent to their guests.

Navigation Path: Login to MAX → Booking Engine → Settings → BE Permissions

Once the feature is enabled, SwiftBook sends the required guest and booking information to ReviewMinder. RM then uses these details and the property's customized email templates to automatically send the relevant emails to guests at the configured times.

Important Note: This functionality is available only to properties subscribed to both SwiftBook and ReviewMinder. The feature is disabled by default and must be enabled by the property. Please find the attached document for your reference, which provides the same information.
