Flexible fees are customisable charges configured at the property level, that allows you to define additional fees that are automatically calculated and applied across bookings. Offering greater control over fee structure, flexible fees can be set as either a fixed amount or a percentage of the total room amount - ensuring accurate and consistent fee calculation across all reservations.

2. Step-by-step: Create Flexible fees
· Step 1 - Navigate to Booking Engine
· Login to extranet > Booking Engine > Settings > Fees
· Step 2 - Create Flexible fees
· Select ‘Add Fee’
· Enter fee name, this will be visible on the Booking engine, Channel manager and confirmation for confirmed bookings
· Select fee type from drop-down menu – fixed, which is a flat fee regardless of booking total or percentage, which is calculated from the total booking value
· Enter fee amount
· SAVE
3. Booking engine display
How the customer will see Flexible fee once you have completed your setup
· Visible on the guest details page, once the customer has selected the room type they want
· Outlined as a separate charge/line (Fees) next to the total booking value, providing full visibility to guests
· When multiple fees applied, these are clustered within fees – expand to see all
4. Confirmed bookings
· Fees are visible within channel manager for Booking Engine bookings
· Channel manager display - Navigate to Bookings
· Login to extranet > Bookings
· Click booking to open
· Within the ‘Billing’ section you will see all charges applied to booking, including flexible fees
· Confirmation email display
· Displayed on the booking confirmation email below subtotal, ensuring guests have a clear and transparent breakdown of all charges at hand.
· The property also receives the same confirmation email, ensuring full visibility of the charge details communicated to the guest.
· PMS
· The fee amount will be included in comments and passed to PMS
· If the PMS would like the fee amount to be passed in a specific tag, this can be arranged with the PMS technical team
